A WhatsApp chatbot is software that talks to your customers on WhatsApp for you. It receives their messages through the WhatsApp Business Platform, decides what to do, and replies with answers, buttons, forms or pre-approved message templates. It can be a simple menu, or a conversational assistant that checks bookings and creates leads.
Anything repeatable that starts with a customer message: collecting lead details, answering common questions, booking and rescheduling appointments, sending order and payment updates, reminding people about appointments, and passing complicated requests to your team.
Your business gets a WhatsApp Business Account and phone number on Meta’s platform. When a customer messages you, Meta delivers the message to a webhook on your server; your backend decides what to do and replies through the API. To message someone first, or after 24 hours of silence, you use a template that WhatsApp has approved.

The Cloud API is Meta’s hosted interface to the WhatsApp Business Platform. Here is what an integration involves, in the order it happens.
A Meta business account, a WhatsApp Business Account and a Meta app are created and linked. Business verification is completed where your use needs it.
A number is registered for the API and a display name is submitted for review.
Templates for notifications and first contact are written and submitted for WhatsApp’s approval.
Your server exposes an HTTPS endpoint. WhatsApp verifies it once, then delivers incoming messages and delivery statuses to it as signed events.
Your backend calls the Cloud API with an access token to send text, media, buttons and template messages.
Every event is verified, de-duplicated and matched to the customer’s conversation and record.
Inside the 24-hour customer service window replies are free-form; outside it, approved templates are used. Sent, delivered, read and failed statuses come back to you.
Business logic decides the next step, updates your database and CRM, and queues the reply, reminder or alert.

Meta charges for template messages by category and country. Those charges are billed by Meta to your WhatsApp Business Account, not by us, and Meta revises them from time to time, so we show you the current rates when we scope the project. Hosting and any third-party services are listed separately in the estimate.

It depends on the scope, so we estimate each project instead of quoting a flat price. The main drivers are how many workflows the bot handles, how many systems it connects to (CRM, database, payments, booking), whether it needs a staff dashboard, and the expected message volume. A simple notification workflow is a much smaller project than a multi-branch queue system with live dashboards. Separately, Meta charges for template messages by category and country; those charges are billed by Meta, not by us. Tell us the workflow and we will come back with an estimate.
It depends on the scope, and on steps that happen on Meta’s side such as business verification and template approval. As a rough guide, a focused notification workflow can go live in around one to two weeks, a conversational bot with backend integration usually takes several weeks, and multi-system projects are planned in phases.
